Summary of Essential Job Duties:

The Senior Administrative Assistant performs a broad range of clerical, administrative and general office activities in order to support the facilitation of administrative workflow within the Cardiac Surgery Intensive Care Unit. Supports Faculty in the Cardiac Surgery ICU by arranging their schedules, appointments and itineraries.

  • Schedules appointments and meetings for Cardiac Surgery Intensivists.
  • Coordinates arrangements for meetings, conferences, or travel for faculty.
  • Manages complex calendars for two Cardiac Surgery Intensivists.
  • Composes and distributes meeting agenda and minutes.
  • Supports department in coordination of meetings and events.
  • Updates Faculty CV, Biosketches, and initiates license renewals.
  • Researches and responds to inquires and calls.
  • Establishes procedures and systems to ensure orderly and timely flow of business.
  • Edits documents suitable for publications and distributions; ability to edit materials for punctuation, spelling, and grammar.
  • Composes routine departmental business correspondence, researches, and organizes information for special reports and information upon request
  • Supports faculty in UKG and ECC certification

Qualifications

Educational Requirements:

High School Diploma or GED required
Bachelor's Degree preferred

Experience:

  • Minimum of 2 years of office and administrative experience, required.
  • Ability to handle multiple demands and / or manage complex and competing priorities.
  • Ability to work with tight timeframes and meet strict deadlines.
  • Ability to demonstrate time management and priority setting skills.
  • Ability to use software applications and operate technological devices (e.g., computer, laptop, tablet, smartphone, etc)
  • Ability to identify problems and resourcefulness to resolve them independently and on own initiative.
  • Strong analytical and problem-solving skills; excellent organization skills and very detail-oriented; learns new tasks quickly; self-motivated; works well independently with minimal supervision; works well with others; able to multi-task.
  • Excellent communication (written and verbal) skills.
  • Strong interpersonal skills for interaction with peers, patients, physicians, and other customers of the medical center.
